An AI meeting recorder that closes the loop
Updated
An AI meeting recorder turns a conversation into a transcript, a summary and a list of who does what by when. NeoCEO works from Google Meet transcripts and from recordings you upload, separates the speakers, and drafts action items and a recap email. You review everything first: nothing becomes a task or reaches participants until you say OK.
Notes are not the hard part
Most meeting tools stop at the transcript. You get a long document, maybe a summary, and then the real work still waits: deciding which points are tasks, putting them in the right project, and sending everyone a recap so the promises made in the call don't evaporate by Friday. "Closing the loop" means NeoCEO does that second half too, with you checking each step.
Who it's for
- Founders who sell and want every client call to end with clear next steps and a recap sent the same day.
- Agencies and consultants with weekly calls per client, each with its own project and deadlines.
- Teams that meet in more than one language, especially Romanian and Russian, where many tools struggle when people switch language mid-sentence.
Where the recordings come from
We'd rather be precise about this than oversell it. Today NeoCEO has two sources:
- Google Meet transcripts. Connect your Google account and, when transcription is turned on in a Meet call, NeoCEO picks up the transcript from your Google Drive after the meeting. There is nothing to upload.
- Uploads. For Zoom, Teams, a phone call or an in-person meeting, upload the audio afterwards (MP3, M4A, WAV, OGG, WebM or AAC, up to 500 MB) or a text transcript exported from another tool.
NeoCEO does not join your calls as a bot. A NeoCEO mobile app that records meetings and calls straight from your phone, including with the screen locked, is coming soon for iOS and Android. It is not released yet.
What you get after each meeting
A transcript with speakers
The full text, split by speaker, so you can see who said what. Later you can ask in chat for the summary of a past meeting instead of rereading it.
Summary, decisions and action items
A short summary, the decisions that were agreed, and a list of things to do, with the owner and the deadline when they were said out loud in the meeting. You match speakers to your contacts and choose what to keep.
Tasks on the right board
The action items you confirm become tasks on a project board, can be linked to a CRM contact as a note, and get reminders. They then show up in your Priorities list and morning briefing next to everything else that needs you.
A recap email that waits for your OK
NeoCEO drafts a recap with the summary, decisions and tasks per person, addressed to all the participants or only the ones you pick. It opens as a draft you can edit, and it is sent from your own mailbox, Gmail or IMAP, only when you press Send. Outlook and Microsoft 365 mailboxes are not supported for sending.
English, Romanian, Russian and mixed
When you upload a recording, you pick the language: English, Romanian, Russian, a Romanian–Russian mix, or automatic detection. For Romanian, Russian, mixed and auto-detected uploads, NeoCEO uses Soniox through its EU endpoint first; English uploads go to Deepgram's EU endpoint. Soniox identifies the language word by word, so it can follow a sentence that starts in Romanian and ends in Russian. If a provider fails or the result looks wrong, transcription falls back to another provider automatically, so you still get a result.
Quality depends mostly on the audio: a microphone close to the speakers and little background noise matter more than any setting. We don't publish an accuracy figure, because it varies from one recording to the next; the honest test is one of your own meetings during the trial. For a Romanian-language walkthrough, see transcriere ședințe.

When another tool fits better
- You want a bot in every call. Fyxer and Motion join Zoom, Teams and Meet calls and take notes. NeoCEO works after the meeting, from the Meet transcript or an upload.
- You only use Google Meet. If your company already pays for Google Workspace, Gemini's notes in Meet may be all you need.
- You need a mobile app today, or certifications. Motion has iOS and Android apps and SOC 2 Type II; Fyxer lists SOC 2, ISO 27001 and HIPAA. NeoCEO's mobile app is not released yet, and it has not published certifications.

AI meeting recorder: questions
Does NeoCEO record Zoom or Teams calls?
Not live. NeoCEO does not join calls as a bot. For Zoom, Teams, phone calls or meetings in person, record the call with the tool you already use and upload the audio file afterwards, or upload a text transcript exported from another tool. For Google Meet, the transcript is picked up from your Google Drive automatically when transcription was on in the call. A mobile app that records straight from your phone is coming soon. If a bot in every call is essential, Fyxer or Motion cover that today.
Is anything sent to participants without my approval?
No. The transcript, summary and action items stay with you until you review them. You match speakers to contacts, choose which action items become tasks, and decide whether something goes into the CRM. The recap email opens as a draft: you pick all participants or only some, edit the text, and it is sent from your own mailbox only when you press Send. The same rule applies across NeoCEO: sending email, changing CRM or calendar data, and deleting data wait for your OK.
How well does it handle Romanian and Russian?
That is one of the reasons we built it. You can choose Romanian, Russian, English, a Romanian–Russian mix or automatic detection. Romanian, Russian and mixed uploads go first to Soniox, a speech recognition engine that identifies the language word by word, so code-switching mid-sentence is followed rather than forced into one language. Quality still depends on the audio, and passages where people talk over each other are worth rereading before you send a recap. We don't publish an accuracy rate; try it with your own recordings.
How many meetings can I transcribe?
The limit is in minutes, not meetings: 300 minutes a month on Starter and 1,200 on Pro, and each Team seat has the Pro limits. One audio file can be up to 500 MB, which is enough for a long meeting saved in a compressed format such as MP3 or M4A. Text transcripts can be up to 25 MB. An hour-long recording usually takes a few minutes to process, and you can close the page while it runs.
Where is my meeting audio processed?
Romanian, Russian, mixed and auto-detected uploads go to Soniox through its EU endpoint; English uploads go to Deepgram's EU endpoint. If a provider fails or the result looks wrong, the same audio may be transcribed by another provider from the privacy policy's list. You can also pick the provider in the Meetings tab. Google Meet transcripts are read from your own Google Drive. Your account is isolated at the database level, and your meetings and conversations are not used to train our models. The privacy policy lists the processors we use, what we store, and how to delete a meeting or your whole account.
