One unified inbox, triaged by AI
Updated
A unified inbox brings several email accounts into one view so you stop switching between them. NeoCEO goes one step further: it connects your Gmail accounts and any IMAP/SMTP mailboxes, reads all of them every 15 minutes, and puts only the mail that needs you into one triage list, whichever address it arrived at.
The problem with three inboxes
Most founders don't have one mailbox. There is the personal Gmail that clients somehow still use, the company address on Google Workspace, and often a third one on a custom domain at a hosting provider, set up years ago for a side project or a second company. Each one has its own app or browser tab, and each one has a few emails a week that really matter.
A classic unified inbox merges them into one long list. That saves clicks, but it also merges the noise: three accounts' worth of newsletters in one feed. What you want is the opposite: one short list of what needs you, from all of them, with replies going out from the address each email was sent to.
Who it's for
- Founders with a personal and a company address, or with two companies.
- Agencies and consultants who use a separate mailbox per client or brand.
- Anyone on a custom domain at a hosting provider, whose mail is not on Gmail at all, alongside a Gmail account.
How the unified inbox works
Connect every account
Add Gmail accounts with Google sign-in, and any other mailbox with its IMAP and SMTP settings. You can connect more than one of each: two Gmail accounts and an IMAP mailbox is a normal setup. Give each account a label, such as "Work" or "Agency", so it is easy to tell apart. Starter includes two mailboxes, Pro and Team five per seat.
One triage list across all of them
New mail from every account is checked every 15 minutes. Mail that needs you becomes a triage card: needs reply, urgent, task, meeting or deadline, with a one-line summary and a suggested project. Newsletters, receipts and promotions get no card. How the categories work is explained on the AI email triage page.
Replies from the right address
When you reply to a flagged email through its quick action in chat, NeoCEO uses the mailbox the email arrived in, so a client who wrote to your company address gets the answer from it. When you ask in chat for a new email, name the account ("send it from my agency address") or set a default in Settings; with one Gmail and one IMAP mailbox and no default, NeoCEO asks which to use instead of guessing. Check the sender on the preview before you confirm. Sending always waits for your OK.
Drafts in your style, in each mailbox
Switch on drafts in your style and NeoCEO writes a reply to new needs-reply or urgent emails and saves it to the Drafts folder of the mailbox the email came to, Gmail or IMAP. You find it there in whatever mail app you already use. Up to 25 drafts a day across all accounts, and none of them is sent on its own.
Search, priorities and follow-ups across accounts
Search runs on your mail index, one mailbox at a time: name the account ("search my agency mailbox for the notary invoice"), or NeoCEO searches your default account. Priorities, the ranked list of what needs you, does span every account: replies you owe, sent mail that got no answer after three days, and tasks due today. The morning briefing in the app, and on Telegram if you switch Telegram notifications on, sums up all of it.
What it is not
NeoCEO is not a replacement mail client. You keep reading and writing mail in Gmail, Apple Mail, Thunderbird or your phone's mail app; NeoCEO sits next to them, decides what needs you and does the work around it. Outlook and Microsoft 365 accounts are not supported, and NeoCEO covers email only, not chat apps. Labels inside Gmail are an opt-in for Gmail accounts; on IMAP the triage lives in NeoCEO. More on IMAP specifics on the IMAP/SMTP page.

Unified inbox: questions
Can I connect two Gmail accounts and an IMAP mailbox?
Yes. NeoCEO stores each connected mailbox separately, so you can add several Gmail accounts through Google sign-in and several IMAP/SMTP mailboxes, up to your plan's limit: two on Starter, five on Pro, and five per seat on Team. Each account gets a label you choose, and you can rename, reconnect or remove one without touching the others. If you remove the account that was your default for sending, the default is cleared too, so nothing is sent from an account that is gone.
Which address does NeoCEO reply from?
When NeoCEO flags an email in chat and you use its reply action, the reply goes out from the mailbox the original email arrived in. When you ask in chat for a new email, name the account ("send it from my agency address") or set a default in Settings; with one Gmail and one IMAP mailbox and no default, NeoCEO asks which to use instead of guessing. Check the sender on the preview before you confirm, because a reply from the wrong address can't be taken back. It is sent only when you confirm.
Does it replace Gmail or my mail app?
No. NeoCEO doesn't ask you to move your mail anywhere. Your accounts stay where they are and you can keep using Gmail, Apple Mail, Thunderbird or a phone app. NeoCEO reads new mail to triage it, saves drafts to your Drafts folders if you switch that on, and sends mail through your own accounts when you confirm. It does not move or archive messages unless you ask it to, so you can try it alongside your current setup.
Can I add Outlook or chat apps to the unified inbox?
Not today. NeoCEO connects Gmail and any mailbox that offers IMAP and SMTP access, which covers most hosting providers and custom domains. Outlook and Microsoft 365 accounts that need a Microsoft sign-in are not supported, and chat apps are not part of the inbox. NeoCEO does have a Telegram bot, but that is a way to talk to your assistant, not a feed of your Telegram messages. If you need chat apps in the same list, a tool like Kinso covers more channels.
Is my mail safe with several accounts connected?
Each account's credentials are stored separately and encrypted: IMAP passwords at rest, Gmail through Google's own sign-in, which you can revoke from your Google account at any time. Every NeoCEO account is isolated at the database level, and your mail and conversations are not used to train our models. Sending, deleting and changes to your data wait for your confirmation. The privacy policy explains what we store and how to have it deleted.
