An AI email assistant that works with any mailbox

NeoCEO is an AI email assistant for Gmail and for any mailbox that supports IMAP and SMTP, such as mail on your own domain at a hosting company. It sorts incoming mail into triage cards, drafts replies, tracks what you owe people and sends only after you confirm. Outlook and Microsoft 365 are not supported.
Why IMAP support matters
Most AI email assistants connect through a Google or Microsoft sign-in and nothing else. That covers Gmail and Outlook, but it leaves out a lot of business mail: the mailbox that came with your website hosting, a regional provider, or a company server someone set up years ago. If that is where your clients write to you, an assistant that can only see Gmail sees the wrong inbox.
IMAP (for reading) and SMTP (for sending) are the open standards that almost every mail server supports. NeoCEO speaks both, so it can triage and answer mail wherever it lives, and it sends replies through your own server, from your own address.

What NeoCEO does with an IMAP mailbox
Triage cards in one list
New mail is sorted into triage cards: needs reply, urgent, task, meeting or deadline. Each card suggests a project, and one tap files it as a task. Cards from every connected mailbox, IMAP and Gmail alike, land in the same list, so you don't check inboxes one by one.
Replies that wait for your OK
Ask in the dashboard or on Telegram: "reply to the last email from Acme, we can ship on Friday". NeoCEO drafts the reply, shows it to you, and sends it through your SMTP server only when you confirm. If you have several accounts, pick a default one so NeoCEO doesn't ask which address to send from every time.
Drafts in your style, in your Drafts folder
Switch on drafts in your style and NeoCEO writes a reply to each urgent or needs-reply email, based on a short profile of how you write that it builds from your recent sent mail. On an IMAP account the draft is saved into the mailbox's own Drafts folder, so it shows up in whatever mail app you already use. Up to 25 drafts a day, and none of them is ever sent on its own.
Priorities and follow-ups
NeoCEO keeps one ranked list of what needs you: replies you owe, mail you sent that got no answer after three days, tasks due today, and, if you turn it on, promises you made in your sent mail. The follow-up automation goes one step further: when a sent email gets no reply, it drafts a polite nudge and asks you to confirm. It sends on its own only if you tick its consent checkbox, and never more than its daily cap. On IMAP accounts it counts replies that arrive in the inbox.
Search and briefings
Full-text search covers your mail, so "find the invoice Mihai sent in August" works in chat. A daily briefing on Telegram and in the app sums up the inbox, the day's meetings and what is still open.
How to connect an IMAP/SMTP mailbox
- Start the trial and open Settings → Email accounts → Custom email account (SMTP/IMAP).
- Enter the SMTP host (for example mail.example.com) and port, then the IMAP host if it differs, and its port. Port 587 usually means STARTTLS and 465 or 993 mean implicit TLS; NeoCEO picks the mode from the port, and you can override it for unusual servers.
- Add your username and password. If your provider offers app passwords (most do once two-factor sign-in is on), use one.
- Connect. The password is encrypted before it is stored, and you can edit or remove the account at any time.
Your provider's help pages list the right hosts and ports. They are usually under "IMAP settings" or "set up mail in another app".
What works differently from Gmail
We would rather you know the limits before you connect:
- Labels are Gmail-only. The NeoCEO/… triage labels option needs Gmail. IMAP servers handle custom keywords inconsistently, so on IMAP the triage lives in NeoCEO.
- Triage watches the inbox. Mail that your server's own rules file into other folders is not triaged, although you can browse your folders in the dashboard.
- Calendar and Meet need Google. Calendar features use Google Calendar, and automatic meeting transcripts come from Google Meet. An IMAP-only account can still upload recordings.
- No Outlook or Microsoft 365. Accounts that need a Microsoft sign-in are not supported.

IMAP and SMTP: questions
Which email providers work with NeoCEO?
Any provider that lets you read mail over IMAP and send it over SMTP, which covers most hosting companies, regional providers and self-run mail servers. If your provider's help pages list IMAP and SMTP settings, you have what you need. Gmail works either through Google sign-in or over IMAP with an app password. Outlook and Microsoft 365 accounts are not supported. If you are unsure about a provider, connect it during the trial: NeoCEO tests the connection before saving the account.
Is my IMAP password safe?
The password is encrypted before it is stored, every account's data is isolated at the database level, and the service is only reachable over HTTPS. We recommend an app password rather than your main one where your provider offers it: it can be revoked on its own without changing how you sign in anywhere else. Removing the account in NeoCEO's settings disconnects it straight away, and writing to privacy@neoceo.me deletes your account and its data.
Will NeoCEO send email from my mailbox without asking?
No. Every reply NeoCEO writes is shown to you first and goes out through your SMTP server only after you confirm it. Drafts in your style are saved to your Drafts folder and never sent on their own. The one exception is an automation you switch on yourself with a consent checkbox, such as a follow-up for unanswered mail: it sends only what it describes, to its recipients, and never more than its daily cap.
Can I connect more than one mailbox?
Yes. Starter includes 2 mailboxes and Pro includes 5; on Team, every seat gets the Pro limits. You can mix Gmail and IMAP accounts freely. Triage cards from all of them land in one list, search covers them all, and you can set a default account for sending so NeoCEO doesn't ask which address to use each time. In chat you can still name an account, for example "reply from my company address".
Do NeoCEO's drafts show up in my normal mail app?
Yes, if you switch on drafts in your style. For urgent and needs-reply mail, NeoCEO saves the draft into your mailbox's own Drafts folder over IMAP, so it appears in Thunderbird, Apple Mail, your phone's mail app or webmail, wherever you read that account. You can edit and send it from there like any other draft. Drafts you ask for in chat are shown in NeoCEO and sent from there after you confirm.
