AI email triage means software reads each new email and decides whether it needs you, and how. NeoCEO's triage is deliberately conservative: most mail gets no card at all. The rest becomes a card in one of five categories (needs reply, urgent, task, meeting or deadline) with a one-line summary, any real due date and a suggested project.
Why triage, not just a smarter inbox
A busy inbox is mostly noise: newsletters, receipts, job alerts, marketing that claims to be urgent. The few messages that matter look the same as everything else until you open them. Triage flips the default. Instead of reading everything to find the five emails that need you, you look at the five cards and only open the mail behind them.
NeoCEO checks your connected mailboxes every 15 minutes, classifies each new message with a language model, and only creates a card when the email asks something of you. Romanian, Russian and English mail are all handled, including a thread that switches language halfway.

The five triage categories
These are the categories the classifier can choose from, exactly as they exist in the product. If none fits, the email gets no card.
- Needs reply: a direct question or request that is waiting for an answer from you.
- Urgent: something about your own account that cannot wait, such as a failed payment, a suspended account, a security alert or a production error in your app. A newsletter that says "urgent", a job alert or a story about another company's data breach is not urgent, and NeoCEO is told so explicitly.
- Task: someone assigns you something concrete to do and confirm.
- Meeting: someone proposes a meeting, a one-to-one or a time to talk.
- Deadline: the email names a clear date or time. Relative dates such as "tomorrow" are worked out from when the email was sent, and NeoCEO never invents a due date that isn't in the text.
Promotions, expiring offers, webinar invitations, surveys and automated notifications that ask nothing of you stay out of the list. That is the point: a triage list you can trust has to be short.
What happens after an email is triaged
A card with a suggested project
If you keep projects in NeoCEO, each card suggests the project the email clearly belongs to, or none if the match isn't clear. One tap files the card as a task on that project's board, with the due date carried over. You can also mark it done or dismiss it, or ask NeoCEO in chat to draft a reply.
Optional: labels in Gmail
Switch on Gmail labels and each triaged message also gets a nested label in Gmail: NeoCEO/Needs reply, NeoCEO/Urgent, NeoCEO/Task, NeoCEO/Meeting or NeoCEO/Deadline. Nothing is moved or archived. Labels are Gmail-only, because IMAP servers handle custom keywords inconsistently.
Optional: drafts in your style
Switch on drafts in your style and NeoCEO writes a reply to new needs-reply or urgent emails, using a short profile of how you write built from your recent sent mail. The draft is saved to the Drafts folder of that mailbox, Gmail or IMAP, up to 25 a day. Automated senders are skipped, and a draft is never sent on its own.
Priorities and the morning briefing
Cards that still wait for your reply after 24 hours move into Priorities, NeoCEO's ranked list of what needs you. It also holds mail you sent that got no answer after three days, tasks due today or overdue, and, if you switch it on, promises you made in your own sent mail. The same list opens your daily briefing in the app, and on Telegram if you switch Telegram notifications on.
Works with Gmail and IMAP, not Outlook
Triage runs on every connected mailbox: Gmail through Google sign-in, and any mailbox that speaks IMAP/SMTP, such as a custom domain at your hosting provider. Cards from all of them land in one list. Outlook and Microsoft 365 accounts are not supported. Details on the IMAP/SMTP page.

When another tool fits better
- Your mail is on Microsoft 365. Fyxer and Superhuman both support Outlook; NeoCEO does not.
- You want to live in a fast mail client. Superhuman is a mail app first, with keyboard shortcuts and triage built into the reading experience. NeoCEO is an assistant next to your existing mail app.
- You only need summaries inside Gmail. If your company already pays for Google Workspace, Gemini in Gmail may be enough.

AI email triage: questions
How does NeoCEO decide what is urgent?
Narrowly, on purpose. Urgent means something about your own account that cannot wait: a failed payment, a suspended account, a security alert such as a new sign-in or a changed password, or a production error in your app. Marketing that says "urgent", job alerts and news about other companies' security incidents are excluded by name in the classifier's instructions. Everything else that needs you lands in needs reply, task, meeting or deadline. If you want an immediate ping, the Telegram bot also alerts you about urgent mail in your Gmail account.
Will triage move, archive or delete my email?
No. Triage creates cards inside NeoCEO and changes nothing in your mailbox by default. If you switch on Gmail labels, NeoCEO adds its own NeoCEO/… label to triaged messages, and that is the only change it makes. If you switch on drafts in your style, it saves reply drafts to your Drafts folder. Archiving or deleting mail happens only when you ask for it, and deleting data waits for your confirmation. You can turn both options off again in Settings at any time.
Does AI email triage work with IMAP, or only Gmail?
Both. Every connected mailbox is checked every 15 minutes, whether it is Gmail or any IMAP/SMTP account, and the cards from all of them appear in one list. Two things differ on IMAP: the optional NeoCEO labels are Gmail-only, and triage watches the inbox, so mail your server's rules file into other folders is not triaged. Outlook and Microsoft 365 accounts cannot be connected. Starter includes two mailboxes and Pro includes five.
What languages does the triage understand?
NeoCEO is built for English, Romanian and Russian, and the classifier is told that an email may be in any of the three. A thread that switches from Romanian to Russian, or a Russian email with an English subject line, is classified like any other. The dashboard itself is available in all three languages. Mail in other languages is still read by the same model, but we only promise and test these three, so judge it on your own mail during the trial.
Can I file a triage card as a task?
Yes, that is the main thing a card is for. Each card suggests a project when the email clearly belongs to one of yours, and one tap creates a task on that project's board with the due date from the email, if it named one. The task keeps a link back to the email, can be tied to a CRM contact and gets reminders. If no project fits, the task goes to your general list and you can move it later.
